How to Prepare for an Unannounced Food Safety Audit

Unannounced audits are becoming more common across certification schemes, and some customers ask for them specifically. They show an auditor how your site runs on an ordinary day, which is exactly why they worry so many teams. The good news is that being ready for an unannounced audit is the same as running a good site every day.

Shift from "audit preparation" to daily readiness

If records are completed the week before an audit, an unannounced visit will expose it. Build checks into normal work: supervisors verifying records each shift, short daily hygiene walks, and weekly reviews of open actions.

Know what happens in the first hour

Auditors typically begin with a factory walk soon after arrival. Agree in advance:

  • Who greets the auditor at the gate, and who is the deputy when the technical manager is away.
  • Where the auditor signs in, receives protective clothing and follows hygiene rules.
  • How the production team is informed without disrupting operations.

Keep documents findable

A missing record and a record nobody can find look the same to an auditor. Keep the HACCP plan, CCP records, cleaning and pest control records, training records and internal audit reports organised, current and accessible to more than one person.

Walk your own site as an auditor would

  • Goods-in: supplier approval, raw material checks, allergen segregation.
  • Production: hygiene practices, CCP monitoring, foreign body controls.
  • Storage and dispatch: temperature control, stock rotation, traceability labels.
  • Welfare areas and outside grounds: pest control and general condition.

Prepare your people, not just your paperwork

Auditors ask operators what they do and why. Staff who can explain the controls they are responsible for, in their own words, are the strongest evidence a system is working. Short toolbox talks and refresher training make a visible difference.

Test yourself

Run a surprise internal audit or a mock audit with an external specialist. It shows exactly where daily practice drifts from the documented system, while there is still time to fix it.
